Summer Administrative Assistant

Job: Virtual/Remote Administrative Assistant

Pay: $16.00/hour

Hours and Duration of Employment: 30 hours per week for 8 weeks

Anticipated Start Date: July 4, 2022

Job Description:


The administrative assistant will be responsible for tasks in the following areas: client services, team collaboration, communication, digital advocacy, and leadership.

  • Client services: Communicate with clients via telephone and e-mail to schedule appointments with the Social Worker.

  • Teamwork: Collaborate with the Case Manager and Client Advocate and the Social Work Practicum Student to coordinate tasks, share resources, and complete projects. Projects may include advocacy work to address inequities, such as racism, colonialism, ageism, and ableism, in the insurance system.

  • Communication: Compose written communication to insurance companies to outline clients' experiences of their motor vehicle accidents and the consequent impact on their physical, social, and psychological well-being. Communicate with the supervisor and mentor through text, e-mail, telephone, and Zoom to receive and share tasks, projects, information, and resources.

  • Digital Organization: Organize digital files on Microsoft SharePoint to improve organizational efficiency. Utilize a web application, Health Claims for Auto Insurance, to input and access client data. Learn how to uphold client confidentiality digitally, including training on the Personal Health Information Protection Act.

  • Workplace Development: Take initiative to identify organizational inefficiencies and recommend changes to improve workplace practices. Take responsibility for assessing tasks and prioritizing those that are most urgent and important.

  • Advocacy: Analyze in writing how motor vehicle accidents and the insurance process impact clients' biologically, psychologically, and socially. Write persuasively to encourage insurance adjusters to give clients access to the services they need.

Job Requirements:

This job is funded by the Canada Summer Jobs Grant and as a result, has certain specifications that must be met in order for applicants to be eligible for employment in this role.

  • Applicants must be between the ages of 15 and 30 years old

  • Legally entitled to work in Canada (having a valid SIN)

  • Priority will be given to Indigenous youth from the Ottawa region
